Outreach emails send from your own Gmail account. Pappus can send email from your Gmail. It cannot read your mailbox. Pappus sends only the emails you approve.
Connect
- On Connections, click Connect Gmail. Pappus first shows what it will do with your Gmail; click Agree and continue to Google, then accept the permissions Google asks for: your email address, and sending email on your behalf.
- Pappus learns your Gmail address from Google when you first send. The Sync Gmail profile button on Outreach does the same thing on demand, so you can check the connection.
Who you can email
Google doesn't allow unsolicited commercial email through Gmail, so Pappus emails only people who agreed to hear from you or already do business with you: lead-magnet downloaders, newsletter subscribers, contacts from your own systems, and existing customers. A prospect found through cold sourcing is refused with a message on the draft. For an address you type in yourself, sign the prior business relationship attestation in Outreach settings.
Replies and bounces
Because Pappus can't read your mailbox, replies and bounce notices arrive in Gmail, not in Pappus. When a prospect replies or an email bounces, open the prospect in Pappus and click They replied or It bounced. A bounce also stops Pappus from emailing that address again. You can still answer from Pappus: type your reply in the thread and send it.
The "not connected" errors
- "Gmail isn't connected" (
gmail_not_connected) — there is no live Gmail connection. Connect it on Connections, then retry the send. - "Gmail is connected, but we couldn't confirm which mailbox it is" (
gmail_profile_unreadable) — the access was likely revoked, or a permission wasn't granted. Reconnect Gmail and accept every permission requested. - "Gmail couldn't refresh this connection" — Google refused to refresh the sign-in. Reconnect Gmail; if it keeps happening the mailbox's access was revoked. When the refresh keeps failing for a while, Connections also raises a Reconnect needed alert for the Gmail card on its own.
Other send blocks
A send can also be refused for reasons that aren't about Gmail. Each shows a plain message on the draft with a link to the fix: a missing outreach attestation or one on an opt-in basis (Outreach settings), no postal address (required in every commercial email), a recipient in a strict-consent country such as Germany or Austria, a recipient on a personal free-mail domain while the Personal-domain recipients setting is off, or a recipient who unsubscribed or is flagged do-not-contact — those last ones can't be retried, which is the opt-out being honoured.
Managing and deleting your Gmail data
- What Pappus keeps. Your Gmail address, and a copy of each outreach email Pappus sent (recipient, subject and text) with whether it was opened or a link was clicked. Pappus stores no other email from your account. Pappus holds the access tokens Google issues itself, stored encrypted with a key kept in AWS Secrets Manager (never in Pappus's database), uses them only to act for your workspace, and deletes them when you disconnect Gmail or delete your workspace.
- How long. Sent outreach emails are kept while the prospect is active and deleted up to 2 years after the prospect becomes inactive.
- Disconnect. On Connections, click Disconnect on the Gmail card. Pappus stops sending and deletes the Gmail data it stored for that connection.
- Revoke Pappus's access at Google. Open myaccount.google.com/permissions and remove Pappus. This works even if you can't sign in to Pappus.
- Delete everything. In Pappus, open Privacy (
/app/privacy) to request deletion of your workspace data. See also data deletion. - Pappus's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
